Main Purpose of the Job: This role ensures the smooth day-to-day execution of sales support processes, dealer coordination, and administrative operations. It acts as the operational backbone for the local sales team, keeping documentation accurate, communication flowing, and internal processes running on time.
Job Profile:
- Coordinate and maintain sales documentation, dashboards, and operational reports required by the sales operations team.
- Support vehicle homologation processes -manage data entry in the RAR portal, obtain CIV documents, and verify the accuracy of EOS procedure data.
- Track and follow up on vehicle transports to dealers; assist in obtaining UIT codes and resolving logistics-related issues.
- Manage CRM updates -maintain lead records, customer statuses, and pipeline data according to internal standards; monitor dealer-entered data and flag inconsistencies.
- Handle dealer communication on documentation requirements, reporting timelines, and operational procedures; distribute approved materials and collect feedback.
- Track invoice payments, prepare custody contracts, and ensure timely signature and filing of all financial documents.
- Support internal audits and documentation checks by preparing and organizing required files.
- Assist in the administrative preparation of sales events, training sessions, and dealer meetings -coordinate logistics, invitations, participant lists, and follow-up documentation.
- Manage office operations: supplies, travel reservations (hotels, flights), fuel cards, and IT equipment coordination for new employees.
Candidate Profile:
- Bachelor’s degree in Business, Administration, Economics, or a related field.
- Minimum 2 years of experience in an administrative, operations, or sales support role -ideally in automotive, distribution, or a similarly process-intensive environment.
- Advanced Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, dashboards); comfortable with PowerPoint for reporting.
- Fluent in both Romanian and English (written and spoken) -daily communication in both languages.
- Strong organizational and multitasking abilities -able to manage multiple operational streams simultaneously without losing accuracy.
- High attention to detail and a reliable, structured approach to work.
- Good interpersonal skills -comfortable coordinating across teams, dealers, and cross-border stakeholders.
- Previous exposure to CRM systems is a plus.
